Revised 12 October 2026 · Publication subject to operator review

Operator review required before publication

The proposed 90-day automatic deletion process is not active. The review items marked below remain unresolved. Before publication for employee use, the operator must verify the relevant facts and confirm that this page matches actual service operation, provider settings and organizational arrangements.

Operator and purpose

Arclore Voice is operated by Raveesh Chandra, sole proprietor trading as Arclore, India. It collects organization-linked workplace feedback and provides AI-assisted company intelligence. Contact privacy@arclorevoice.com for privacy enquiries.

Operator review: confirm these terms, required business disclosures, applicable law and dispute arrangements, and their relationship to each organization’s service agreement before production use. Required business/contact disclosures, governing law and dispute arrangements must be verified rather than inferred from the operator’s location.

Employee participation

No employee account is required. Use the feedback link supplied by your organization. Submissions are associated with the organization identified by that link. Share feedback lawfully and honestly; distinguish observations from allegations and avoid unnecessary identifying or sensitive information about yourself or others.

Do not use the service to impersonate someone, submit deliberately fabricated allegations, threaten others, distribute malicious content, interfere with the service or attempt unauthorized access. Legitimate reports of workplace concerns are not prohibited by these restrictions.

Submission does not guarantee anonymity, confidentiality, a reply, an investigation or a particular outcome. Selecting a response preference records that preference; the current service does not provide a reply workflow. Do not rely on this form for emergencies or urgent safety assistance. Use appropriate emergency services and your organization’s designated reporting channels.

Employer access and responsibilities

Employer access requires an invited existing account, verified identity, an active company membership and an eligible company status. Keep sign-in codes and credentials secure, do not share accounts, and access only the company data you are authorized to use.

Organizations must establish appropriate employee notices, lawful processing arrangements, access practices and retention/deletion responsibilities before production use. Employers should handle feedback carefully, avoid unnecessary identification or disclosure, and follow applicable employment and privacy obligations.

AI-assisted information

Feedback and selected context are processed by an AI provider. Outputs can be incomplete, incorrect or misleading, and summaries can contain identifying details. Sentiment, urgency and escalation labels are aids to review, not findings of fact, professional advice or proof of misconduct.

Use human judgment and appropriate independent review. Do not use AI outputs alone to make employment decisions or determine someone’s guilt, eligibility or treatment. Submission storage and AI processing are separate steps; a successfully submitted item may lack analysis if processing fails.

Content and service operation

Submitting feedback does not transfer ownership of your content. The service processes it to store organization-linked feedback, generate AI analysis and present authorized company intelligence as described in the privacy policy. Do not submit material you are not entitled to share.

Availability and results are not guaranteed. Access can be denied when authorization, company eligibility, rate limits or required dependencies do not permit it. These terms do not establish a support response time or monitoring commitment.

Privacy and retention

Read the privacy policy and employee privacy notice before submitting. The privacy-confirmation checkbox acknowledges guidance; it is not an assurance of anonymity or a guarantee that every legal processing requirement has been met.

The proposed 90-day automatic deletion process is not yet active. The operator has approved a proposed retention period of 90 days for employee feedback and associated AI analysis, measured from feedback creation time. This is an intended policy, not a deletion deadline or a statement that records are currently removed after 90 days. Until a deletion process is activated and verified, feedback and analysis may remain stored beyond that period.

Stored reports may contain summaries and other information derived from feedback. Before automatic deletion can begin, the operator must verify which feedback those reports contain and how related information will be removed. The proposed process is intended to run on the server; it does not depend on employees reopening the form.

Deleting records from the active application database is separate from retention in provider backups, logs, AI-provider systems and any exports. Authentication records, any billing records and privacy-request correspondence also have separate purposes and retention arrangements. Their applicable periods and deletion procedures have not yet been verified. The proposed 90-day period does not promise erasure from every system or backup.

Operator verification required: finalize report coverage, activate and verify scheduled deletion, and document the separate retention and deletion arrangements above before presenting the 90-day process as operational. No deletion deadline is promised in this notice.

Earlier deletion requests can be submitted to the privacy contact for review. No employee self-service deletion or guaranteed request outcome is provided.

Operator review: finalize contractual responsibilities, any liability provisions, service changes/termination, support arrangements, and enforceable acceptance procedures with legal advice. Any additional contractual terms must be reviewed and agreed before being presented as binding. These terms do not establish a payment plan, liability cap or indemnity.

Review and publication status

Revised 12 October 2026. Operator approval, an effective date and an appropriate acceptance process remain outstanding. The review notes identify unresolved matters; this revision does not claim legal compliance.
