Employee privacy notice

Revised 12 October 2026 · Publication subject to operator review

Operator review required before publication

The proposed 90-day automatic deletion process is not active. The review items marked below remain unresolved. Before publication for employee use, the operator must verify the relevant facts and confirm that this page matches actual service operation, provider settings and organizational arrangements.

Before you share feedback

Arclore Voice is operated by Raveesh Chandra, sole proprietor trading as Arclore, India. You do not need an employee account, and the form does not ask for your name or email address. This does not guarantee anonymity or confidentiality.

Names, events, job roles, dates, small-team details and writing style can reveal who you are or identify other people. Avoid unnecessary identifying details. Hosting and other infrastructure providers may process IP addresses and technical metadata.

What is submitted

  • Your feedback text and selected category.
  • Priority, area and organization scope, when supplied.
  • Your response preference. The current implementation stores a boolean; leaving the question unanswered is stored as false.
  • The company association resolved from your organization’s feedback link.

Storage also records internal identifiers and timestamps. Unfinished form entries are held in page memory. Clicking Submit Feedback sends the submission to the service; it is not simply a private note kept on your device.

AI processing and employer visibility

Feedback text and selected context are sent to OpenAI to generate themes, sentiment, urgency, summaries, recommendations and escalation indicators. AI may misunderstand a report, and its summaries can repeat identifying details.

Authorized employer users see company-scoped metrics and AI-derived intelligence, including summaries and reports requiring human review. The current dashboard does not display raw feedback text. That does not make the submission anonymous: stored text is processed by Arclore and service providers, and context in the output may identify people.

Cloudflare hosts the application and Supabase stores feedback and analysis. Provider processing locations, logs, backups and data-use settings need operator review; do not assume the data stays only in India or is automatically deleted.

Replies and urgent concerns

Choosing “Yes” to a response records a preference but does not activate a reply feature or guarantee follow-up. The displayed reference is not an authenticated tracking or deletion mechanism. Use your organization’s designated channels for urgent or sensitive concerns; this service is not an emergency response channel.

Retention, deletion and your questions

The proposed 90-day automatic deletion process is not yet active. The operator has approved a proposed retention period of 90 days for employee feedback and associated AI analysis, measured from feedback creation time. This is an intended policy, not a deletion deadline or a statement that records are currently removed after 90 days. Until a deletion process is activated and verified, feedback and analysis may remain stored beyond that period.

Stored reports may contain summaries and other information derived from feedback. Before automatic deletion can begin, the operator must verify which feedback those reports contain and how related information will be removed. The proposed process is intended to run on the server; it does not depend on employees reopening the form.

Deleting records from the active application database is separate from retention in provider backups, logs, AI-provider systems and any exports. Authentication records, any billing records and privacy-request correspondence also have separate purposes and retention arrangements. Their applicable periods and deletion procedures have not yet been verified. The proposed 90-day period does not promise erasure from every system or backup.

Operator verification required: finalize report coverage, activate and verify scheduled deletion, and document the separate retention and deletion arrangements above before presenting the 90-day process as operational. No deletion deadline is promised in this notice.

There is no authenticated employee self-service deletion tool. Earlier requests are reviewed by the operator with your organization where appropriate; records and authority must be safely verified before deletion. Ask your organization about its use of your feedback.

For privacy questions or requests, contact privacy@arclorevoice.com. Provide only enough context to locate the concern, such as the organization and approximate submission time. Do not send passwords, OTPs or unnecessary sensitive details. Identifying or verifying an account-free submission can be difficult; no particular response time or deletion outcome is promised here.

Operator review: agree the organization’s purposes, responsibilities, retention/deletion process, applicable employee notice and legal processing basis, provider arrangements and request-handling process before using this with employees in production.
